Terms of Service

1. Acceptance of Terms
By accessing, browsing, or using FlashBooks ("Service"), operated at flashbooks.in, you acknowledge that you have read, understood, and agree to be bound by these Terms of Service ("Terms"). If you do not agree to these Terms, you must not access or use the Service.
If you are using the Service on behalf of a business entity, you represent and warrant that you have the authority to bind that entity to these Terms, and "you" shall refer to both you individually and the entity you represent.
These Terms constitute a valid and binding agreement between you and FlashBooks under the Indian Contract Act, 1872. You must be at least 18 years of age to use this Service.
2. Description of Service
FlashBooks is a cloud-based GST-compliant invoicing and bookkeeping software designed for Indian businesses. The Service provides the following features:
- GST-compliant invoice generation including sales invoices, purchase invoices, credit notes, and debit notes with automatic CGST, SGST, and IGST calculations
- Payment tracking for inward and outward payments with multiple payment methods
- Customer and vendor contact management with GSTIN, PAN, and address details
- Product and service catalogue management with HSN/SAC code support
- Business expense tracking and categorisation
- Financial reports including GSTR-1, sales reports, purchase reports, payment aging, and tax summaries
- Multi-organisation support with role-based access control
- PDF invoice export and sharing via email and WhatsApp
The Service is provided on an "as is" and "as available" basis. FlashBooks reserves the right to modify, suspend, or discontinue any feature of the Service with reasonable prior notice to users.
3. User Accounts and Registration
To use FlashBooks, you must create an account by providing a valid email address or Indian mobile number. Authentication is performed via one-time password (OTP) sent to your registered email or mobile number, or through Google OAuth sign-in.
You agree to:
- Provide accurate, current, and complete information during registration
- Maintain the security of your account by safeguarding access to your registered email and mobile number
- Not share your account credentials or OTP with any other person
- Promptly notify FlashBooks at support@flashbooks.in if you suspect any unauthorised access to your account
- Maintain only one account per individual user
You are solely responsible for all activities that occur under your account, whether or not authorised by you.
4. Organisations and Multi-Tenancy
FlashBooks supports multi-organisation management. Users may create and manage up to five (5) organisations within the Service.
- Free Tier: One (1) organisation with one (1) user at no cost
- Premium Plans: Additional organisations and users are available under premium plans as specified on our pricing page
- Organisation Roles: Each organisation supports three roles — Owner (full administrative control), Admin (management access), and User (standard access). The Owner is responsible for managing roles and permissions within their organisation
- Data Isolation: Each organisation's data is logically separated. Users with access to multiple organisations can switch between them but cannot merge data across organisations
Deleting an organisation will permanently remove all data associated with that organisation, including invoices, contacts, products, payments, and reports. This action is irreversible.
5. Acceptable Use Policy
You agree to use the Service only for lawful business purposes. You must not:
- Use the Service to generate fraudulent, misleading, or illegal invoices or financial documents
- Violate any applicable Indian laws, including but not limited to the Goods and Services Tax Act, 2017, the Information Technology Act, 2000, the Income Tax Act, 1961, and the Indian Penal Code
- Attempt to reverse-engineer, decompile, disassemble, or otherwise attempt to discover the source code or underlying algorithms of the Service
- Upload, transmit, or distribute any malware, viruses, or harmful code that could interfere with the Service's operation
- Use automated tools, bots, or scripts to scrape, extract, or collect data from the Service beyond normal use
- Impersonate another user, business entity, or any other person
- Interfere with or disrupt the Service, servers, or networks connected to the Service
- Use the Service for money laundering, tax evasion, or any activity that violates the Prevention of Money Laundering Act, 2002
FlashBooks reserves the right to suspend or terminate your account if you violate this Acceptable Use Policy.
6. GST Compliance Disclaimer
FlashBooks provides tools and features designed to facilitate GST-compliant invoicing, including automatic calculation of Central GST (CGST), State GST (SGST), Integrated GST (IGST), and applicable Cess based on the information you provide.
However, please note the following:
- The Service does not constitute tax advice, legal advice, or financial advice of any kind. FlashBooks is not a Chartered Accountancy firm, tax consultancy, or legal advisory service
- You are solely responsible for the accuracy of all data entered into the Service, including but not limited to GSTIN numbers, HSN/SAC codes, applicable tax rates, and invoice details
- You must independently verify that your invoices and tax calculations comply with the Goods and Services Tax Act, 2017, and all related rules and notifications issued by the Central Board of Indirect Taxes and Customs (CBIC)
- FlashBooks shall not be held liable for any errors in tax calculations, incorrect GST rates, or non-compliance arising from incorrect or incomplete data entered by you
- You remain solely responsible for the timely and accurate filing of GST returns with the Goods and Services Tax Network (GSTN) portal. FlashBooks does not file returns on your behalf
- FlashBooks is not responsible for any penalties, interest, or adverse consequences resulting from incorrect tax computations, missed filing deadlines, or discrepancies between your FlashBooks records and GSTN portal data
We strongly recommend that you consult a qualified Chartered Accountant or tax professional for advice on GST compliance specific to your business.
7. Financial Data and Accuracy
You bear full responsibility for the accuracy, completeness, and legality of all financial data entered into the Service. This includes, but is not limited to:
- Invoice amounts, line items, quantities, and rates
- Payment records (both inward and outward)
- Customer and vendor details, including bank account information
- Product and service details, including HSN/SAC codes and GST rates
- Expense records and categorisation
FlashBooks does not audit, verify, or validate the correctness of the data you enter. All reports generated by the Service — including GSTR-1 reports, sales summaries, purchase reports, payment aging, and tax summaries — are derived from and limited to the data you have entered. FlashBooks is not a registered financial institution, bank, or Chartered Accountancy firm.
8. Intellectual Property
FlashBooks and all associated trademarks, logos, designs, software, user interfaces, and content are the proprietary intellectual property of FlashBooks and are protected under the Copyright Act, 1957, the Trade Marks Act, 1999, and other applicable Indian intellectual property laws.
- Your Data: You retain full ownership of all business data you enter into the Service, including invoices, contacts, products, payments, and expenses
- Limited Licence: You grant FlashBooks a limited, non-exclusive, revocable licence to process, store, and display your data solely for the purpose of providing and improving the Service
- Restrictions: You must not reproduce, distribute, modify, create derivative works from, publicly display, or commercially exploit any FlashBooks materials, including invoice templates, without prior written consent
9. Data Handling and Privacy
Your use of the Service is also governed by our Privacy Policy, which describes how we collect, use, store, and protect your personal and business data. By using the Service, you consent to the data practices described in the Privacy Policy.
Key highlights:
- All data is encrypted using AES-256 encryption at rest
- Data is stored in Indian data centres (data residency within India)
- We comply with the Information Technology Act, 2000, and the Digital Personal Data Protection Act, 2023 (DPDPA)
- You may export or delete your data at any time through the Settings section of the Service
- We do not sell, rent, or trade your personal or business data to third parties
10. Payment Terms
FlashBooks offers a free tier that includes one (1) organisation and one (1) user at no cost. No credit card or payment information is required for the free tier.
- Premium plans, when available, will be billed as specified at the time of purchase. All prices will be displayed in Indian Rupees (INR)
- Goods and Services Tax (GST) at the prevailing rate will be applicable on premium plan charges, and the applicable amount will be clearly displayed before payment
- FlashBooks reserves the right to modify pricing for premium plans with at least thirty (30) days' prior notice to affected users
- Refunds for premium plans, if applicable, will be processed in accordance with the Consumer Protection Act, 2019, and the specific refund terms communicated at the time of purchase
11. Service Availability and Uptime
FlashBooks strives to maintain high availability and targets 99.9% uptime for the Service. However, we do not guarantee uninterrupted, error-free access at all times.
- Scheduled maintenance windows will be communicated in advance where practicable, typically via in-app notification or email
- FlashBooks shall not be liable for any downtime, interruption, or degradation of service caused by force majeure events (including but not limited to natural disasters, government actions, wars, epidemics), internet connectivity issues, third-party service provider failures, or circumstances beyond our reasonable control
- No compensation shall be payable for service interruptions unless otherwise required by applicable Indian law
12. Limitation of Liability
To the maximum extent permitted by applicable Indian law:
- FlashBooks shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of business, loss of revenue, loss of data, loss of profits, or loss of goodwill, arising from or in connection with your use of or inability to use the Service
- FlashBooks's total aggregate liability for any claims arising from or related to the Service shall be limited to the total amount paid by you to FlashBooks in the twelve (12) months immediately preceding the event giving rise to the claim, or zero (₹0) for free tier users
- These limitations apply regardless of the theory of liability (contract, tort, negligence, strict liability, or otherwise)
Nothing in these Terms shall exclude or limit liability for fraud, wilful misconduct, or any liability that cannot be excluded under Indian law.
13. Indemnification
You agree to indemnify, defend, and hold harmless FlashBooks, its officers, directors, employees, and agents from and against any and all claims, damages, losses, liabilities, costs, and expenses (including reasonable legal fees) arising from or related to:
- Your use or misuse of the Service
- Your violation of these Terms
- Your violation of any applicable Indian law or regulation
- Any claim by a third party arising from the data you enter, invoices you generate, or actions you take using the Service
- Your infringement of any third-party intellectual property rights
14. Termination
- By You: You may terminate your account at any time by deleting your organisation(s) and account through the Settings section of the Service
- By FlashBooks: We may suspend or terminate your account immediately, with or without prior notice, if you violate these Terms, engage in fraudulent activity, or if required by law
- Effect of Termination: Upon termination, your right to use the Service ceases immediately. Your data may be retained for a reasonable period as required by applicable Indian laws (including tax record retention requirements under GST regulations) before permanent deletion
- Survival: Provisions relating to intellectual property, limitation of liability, indemnification, governing law, and any other provisions that by their nature should survive, shall continue in effect after termination
15. Modifications to Terms
FlashBooks reserves the right to update or modify these Terms from time to time.
- Material changes will be communicated to you via email to your registered email address or through an in-app notification
- Your continued use of the Service after being notified of changes constitutes your acceptance of the revised Terms
- The "Last updated" date at the top of this page reflects the date of the most recent revision
- If you do not agree with the revised Terms, you must discontinue your use of the Service and delete your account
16. Governing Law and Jurisdiction
These Terms shall be governed by and construed in accordance with the laws of India, including but not limited to:
- The Indian Contract Act, 1872
- The Information Technology Act, 2000
- The Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011
- The Digital Personal Data Protection Act, 2023
- The Consumer Protection Act, 2019
Any dispute arising out of or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts in Bengaluru, Karnataka, India.
17. Grievance Redressal
In accordance with the Information Technology Act, 2000, the IT (Intermediary Guidelines and Digital Media Ethics Code) Rules, 2021, and the Digital Personal Data Protection Act, 2023, FlashBooks has appointed a Grievance Officer.

All grievances will be acknowledged within twenty-four (24) hours of receipt and resolved within fifteen (15) days from the date of receipt.
If you are not satisfied with the resolution, you may approach the appropriate consumer forum under the Consumer Protection Act, 2019, or the Data Protection Board of India under Section 13 of the Digital Personal Data Protection Act, 2023.
18. Severability
If any provision of these Terms is found to be invalid, illegal, or unenforceable by a court of competent jurisdiction, the remaining provisions shall continue in full force and effect. The invalid or unenforceable provision shall be deemed modified to the minimum extent necessary to make it valid and enforceable.
19. Entire Agreement
These Terms, together with the Privacy Policy, constitute the entire agreement between you and FlashBooks with respect to your use of the Service. These Terms supersede all prior or contemporaneous communications, proposals, and agreements, whether oral or written, between you and FlashBooks regarding the Service.
